What are back office operations, and which can you outsource?

  • Data entry
  • Document processing
  • Order management
  • Billing support
  • Records work
  • Reporting

Back office operations are the work that follows a customer contact and keeps your business running behind it: data entry, document processing, order management, billing support and reporting. VoiceTeam runs that work for US companies from its main operation in the Dominican Republic, to your process and with the access and permissions you set.

Customers only notice your back office when it runs late. A call ends with a promise: the order will ship, the refund will go through, the address will be updated. If the work behind that promise runs a day behind, the customer calls back to ask where it is, and your contact center spends its day answering for work that sits somewhere else.

That is the case for running the two together. The work that comes out of each conversation, whichever channel it arrived on, can sit with the same operation as the conversation itself, so the person who took the call and the person processing what followed are working from the same account notes. Our customer service outsourcing page covers the front of that operation.

What does back office outsourcing look like in your industry?

The method stays the same from one sector to the next, and the work changes. For a telecom operator it is order processing and provisioning administration; for a healthcare practice, coverage checks, billing questions and records; for a law firm, the intake record that becomes the first page of a case file.

In telecommunications, the back office is where an order taken on a call becomes a working service. The order is processed, the provisioning is set up, and the bill matches what the customer was told. When one of those steps lags, the next contact is a billing question. In eCommerce, it is the refunds, exchanges and order changes a customer was promised in chat, carried through so the promise holds.

For healthcare practices and groups, it is the coverage checked before a visit, the claims and billing questions answered on the day they come in, and the data entry and records work that follows each call, handled under HIPAA rules. For law firms, our agents run your intake and send a structured record to where your firm wants it to land. They gather facts and do not assess a case. Financial services teams use the same discipline for account questions and dispute resolution.

How do you keep outsourced back office work accurate?

With a standard agreed before launch and checked every month after it. We document your process, what an agent may decide alone and what goes back to your team, and supervisors score the work against that standard. Quality monitoring runs to the COPC framework we are certified against, and you see the same scorecard we do.

Back office errors rarely show up where they happen. A plan code entered wrong or an address with one digit out stops nothing on the day. It surfaces a week later as a bill the customer disputes or a parcel that comes back, and by then it has become a contact, a correction and a customer who trusts you a little less.

Automation helps with the repetitive, rule-bound steps, and where it genuinely belongs we will say so. People earn their place on the exceptions: the order that does not match the account, the document with a page missing, the case that needs a judgment your team makes. Those are recorded and passed to your team, and nothing is guessed at.

How does back office support scale when volume peaks?

By adding people to a team that already knows your process. New agents join the existing account and are trained alongside the team running it, so a month-end close, a billing cycle or a seasonal surge becomes a staffing change on an account that works, rather than a new team learning your process under pressure.

Staffing and scheduling that team are part of what we run. Back office work keeps its own calendar, and it is often not the calendar of your phone lines: orders pile up after a promotion, claims after a holiday weekend, billing questions after the invoices go out. The plan is built around when your work actually arrives, and the measures agreed before launch show whether it kept up.

What keeps a larger team accurate is the people staying on it. Agents who stay long enough to learn your process make fewer of the errors described above, and they help train the people who join after them. Our training page covers how agents are prepared before they touch live work.

How does back office outsourcing start?

With one working session: the processes you want to hand over, how much work arrives and when, the systems involved, what an agent may decide alone, and your quality standard. Then training on your process and systems, a pilot on one defined piece of work, and scale from there. Many engagements start with one queue.

  1. Working session
  2. Training
  3. Pilot on one process
  4. Scale

That session is the real work. Writing a process down for someone outside the building usually brings out the steps only one person on your team knows, and the exceptions nobody has written down. Those become part of the documented process before launch, which is useful to you whether or not the work moves.

We give you a realistic launch date once we have seen your requirements, rather than an optimistic one up front. If you are comparing providers, our BPO vendor assessment is the checklist we would want you to hold us to.

Frequently asked questions

It depends on how much work there is, how complex it is, the hours it needs covering and how predictable the volume is. The number worth working out first is what the work costs you today, including hiring, retraining and the backlog. Our cost of ownership calculator walks through it.

For the team we run for you, yes. Staffing, scheduling and training that team are part of the service, and a peak is covered by adding agents to the account and training them alongside the people already on it. Results are reported monthly against the measures agreed with you before launch.

Yes, on the intake side. Our agents work from your intake script, gather the facts of a matter and send a structured record to where your firm wants it to land. They do not assess a case or answer legal questions. Our legal call center and intake services page covers it in full.

Access is limited to the agents assigned to your account and their supervisor, and it is removed when someone comes off the account. Payment details are handled under PCI DSS rules and health information under HIPAA, and the controls are audited rather than asserted. Ask early if your compliance team needs the specifics.

Our teams in the Dominican Republic work in English and Spanish, and Spanish is a first language for them. Agents are assigned by language and program rather than pooled, so if part of your work arrives in Spanish, tell us early and it goes to them.

Our main operation is in Santiago in the Dominican Republic, where our facilities and most of our teams sit, and we work with a partner team in the Philippines where we have our own staff on the ground. The Dominican Republic works in a time zone that lines up with US business hours.
